Print, Show, or Email the Agenda and Speech Introductions

When you are logged in to a club website and visit the page for a specific meeting, you will see a menu at the top of the screen that includes options for printing the agenda, showing it on-screen, or emailing it to your members with prompts to fill open roles.

Here are what the options mean:

  • Print Agenda – shows the printable agenda and triggers the print function of your computer.
  • Show Agenda – view the agenda onscreen, for example if you are participating on Zoom and don’t really need to print it.
  • Show with Introduction – show a version of the agenda that includes the text members have entered as speech introductions. (It’s also possible to make this the default from the Settings -> Toastmasters screen).
  • Agenda with Contacts – show a version of the agenda that includes contact information for the members who have taken a role, plus a listing of members who have not yet taken a role.
  • Speech Introductions – show a separate printable document that includes the speaker’s path, project, speech title and introduction.
  • Email Agenda – Email out a version of the agenda, which can include a note up top (for example, encouraging people to sign up or thanking those who have done so) and the subject line of your choice. Send to all members, or only those who have not yet taken a role. Open roles include a one-click signup link allowing members to quickly sign up to participate.
  • Email (Roles Only) – a version of the email agenda that only includes role blocks, no other content except for the note you add up top.
  • Export to Word – downloads a version of the agenda you can open in Microsoft Word and further edit.
  • Simple Copy and Paste – another way of copying agenda content into another document.

Email version of the agenda

Here is the Agenda Email preview, which includes a space up top for you to add a custom note. You can also customize the subject line and determine whether the message should go to all members or just a subset of them.
