How to Use the Vote Counter’s Tool (Website and Mobile App Versions)

A web-based tool for the Vote Counter has been part of the Toastmost / WordPress for Toastmasters system since at least 2021 and was included in the Toastmost mobile app launched in 2025. One update for 2026: the option of adding a QR code to the printable agenda, allowing members and guests to open the ballot on their phone without requiring that they have the Toastmost mobile app.

Intended primarily to help with routine meeting votes (Best Speaker, Best Table Topics Speech).

Because it is integrated with the digital agenda, the software knows who has been designated as Vote Counter for the meeting and will provide that person with the ability to the create digital ballots that others can use to vote. Default Speaker and Evaluator ballots will be created based on the agenda, but the vote counter adjust them as necessary — while also adding ballots on the fly for impromptu roles like Table Topics Speaker. You can add registered members to the ballot from a drop-down list or type in the name for guests.

These tools are particularly handy for online and hybrid meetings where otherwise the vote counter must deal with a confusing mix of Zoom chat, text, and WhatsApp messages, as well as paper ballots from in-person attendees at a hybrid meeting. With digital voting, you can encourage everyone to vote through either a web link or the mobile app — and you can still record votes that come in through other channels to be included in the final tally.

By default, votes are anonymous, and guests are allowed to vote using a web link. The Vote Counter can also create digital ballots that must be “signed” by a logged-in user for more formal votes like voting on a budget or voting in a new member. In that case, you can make the choices Yes/No/Abstain rather than member names.
