Email Forwarders for Officers and Custom Lists

You can set up custom email forwarding addresses associated with your website. This is in addition to the club member and officer email lists, and the forwarder / autoresponder functions suggested for use with notifications from toastmasters.org.

These are not full email accounts you can send messages from, but they can be used to forward messages to one of more other email addresses.

If you specify your officers list on the Toastmasters settings screen (look for the Toastmasters submenu item under Settings), forwarding addresses will automatically be created for each officer role. In addition, you can create custom forwarders that will send messages to one or more people, for example on your mentorship committee. You might also want to have guest RSVP notifications forwarded to several people, rather than sent to a single email address.

On a Toastmost subdomain website like Online Presenters (op.toastmost.org), the forwarding addresses will be in the format subdomain-forwarder@toastmost.org — as in op-president@toastmost.org, op-vpe@toastmost.org, or op-rsvp@toastmost.org. If you are using your own domain, those emails become president@clubawesome.org, vpe@clubawesome.org, or rsvp@clubawesome.org.

You can also specify a list of email addresses to be used for any forwarding address that isn’t an exact match, perhaps because the sender made a typo in the email address.

The advantage of having forwarders associated with an officer role is that when new officers are elected, messages intended for the new VPE or Treasurer can be sent to the new person holding that officer role. This depends on a website administrator updating the officers list on the Toastmasters screen under settings.

On the Administrator’s dashboard, Email Forwarding setup is under the TM Email menu item. In the example below, three forwarders are configured and a fourth one is showing a blank where you can fill in your own one-word label, and then enter the addresses the message should forward to in the blank below that.
